Roles & permissions - who can do what?

elyvate uses a role-based permission system to make sure every team member has exactly the access they need - no more, no less. Your role is assigned by your admin and determines what you can see, create, and edit across the platform.

How roles are structured

elyvate organizes roles into two groups: project leadership roles and work package roles.

Project Leadership

Level 2 roles are for people who lead and coordinate projects or work packages. They have broad permissions to create, manage, and report across their assigned scope.

Project Lead
The Project Lead has full access to everything within their assigned project - work packages, measures, KPIs, targets, members, and reporting. The Project Lead role is assigned individually as a named seat, typically one per company involved in the project.

Consultant
The Consultant role carries nearly identical permissions to the Project Lead. The key difference is how access is granted: anyone with an email domain marked as consultancy is automatically assigned to the entire project and all its work packages. This makes Consultant access domain-based rather than seat-based - no manual invitation required for each work package.

WP Lead
The WP Lead has full access within their assigned work packages - including editing measures, KPIs, targets, and weekly progress entries. Outside of their assigned work packages, access is restricted. This role is designed for people who own and drive a specific operational area within the project.

Contributors & Observers

Level 3 roles are for people who work within or observe a defined work package. They have no access to project-wide settings or administration.

Upper Management
The Upper Management role is read-only, limited to viewing previously generated report data. It is designed for senior stakeholders who need high-level visibility without any access to project execution or settings.

Contributor
The Contributor is the standard editor role. Contributors can create and edit measures and their personal to-dos in My Measures, and edit existing KPIs within their assigned work packages. They cannot create or edit targets or weekly progress entries, manage project members, change settings, or access reporting beyond their own work package.

Guest
The Guest role is largely read-only. Guests can view work packages, KPIs, measures, weekly progress, and planning content, can view and download attachments, can comment on measures, and can create and edit their own personal to-dos in My Measures - but cannot create or edit any other content. Guests always see all members of the project. This role is designed for stakeholders who need transparency and visibility without editing rights.

Note: WP Lead and Contributor permissions apply only within their assigned work packages.

Open any project and check which sections and actions are available to you - your access level will be immediately visible from what you can and cannot interact with. If you need broader access, contact your Project Lead. Role changes are managed in the Details area of each project.
