Reporting is how a project's work reaches leadership. elyvate runs the whole cycle in one place: from each work package's one pager to the SteerCo meeting to the final report for Upper Management.
The reporting cycle at a glance
Every project reports on a fixed rhythm: the reporting frequency and report day are set at project level in Project Details (see Project Details). Work Package Leads can see when their next report is due right on the One Pager. Each cycle follows the same chain:
Every Work Package Lead creates a one pager report for their work package and submits it to the Project Lead
The Project Lead receives an email with a link to each submitted report, and can also open the Reports tab to see which work packages are ready and which are still pending
The Project Lead reviews the one pagers and sets up the SteerCo meeting
The SteerCo meets: decisions, information and new measures are captured live in elyvate as the meeting happens
The Project Lead completes the final report, adds the Top management summary, and exports it as a PowerPoint
What's in a work package report
Each one pager covers four things for the current cycle: the progress update, the top measures, the top KPIs, and the targets. The Work Package Lead builds it in a guided wizard with a live preview (see Create your work package report).
The SteerCo meeting
The Project Lead sets the agenda, invites the members and runs the meeting with elyvate open: new measures, decisions and information are recorded as they happen and stay attached to the cycle (see Run your SteerCo meeting).
The final report
The Project Lead assembles everything: the Top management summary, every work package one pager (still editable at this stage), and the SteerCo notes, then exports the report as a PowerPoint presentation and sends it to Upper Management by email (see Complete and send the project report).
What happens when the report is exported
Two things happen automatically the moment the Project Lead completes and exports the report:
elyvate saves a snapshot of the project's state for that cycle, so past reports always reflect what was true at the time
All completed measures are archived automatically, keeping the active board focused on the next cycle
Who does what
Work Package Leads: create and submit their work package report each cycle
Project Leads: review the one pagers, run the SteerCo, complete and send the final report
Upper Management: receives the exported report
