Once the work package reports are in and the SteerCo has met, the Project Lead closes the cycle: assemble the final report, export it, and send it to Upper Management. It all happens in the Reports tab (see How reporting works in elyvate for the full cycle). Completing and exporting is the Project Lead's job: Consultants technically have the access, but the report should come from the Project Lead.

The Reports tab walks you through the cycle in three steps, shown in a bar at the top:

The header shows the report number and report date, how far away that date is, and when the next SteerCo takes place. You can move between the first two steps at any time. The Export generation step unlocks once all work package reports are in.
Step 1: Work package reports
This step shows how far the cycle has come. A Ready ring shows the percentage of work package reports that are ready, next to a count of pending, ready and total reports. Internal work packages don't count towards it.
Reports are split into two groups:
Pending: work packages that haven't submitted yet. Each card shows the work package and its Last, Current and Next status
Ready: submitted reports. Each card shows the Last, Current and Next status, the Top KPIs, the Responsibles, and the Highlights, Next Steps and Roadblocks
When a Work Package Lead submits their report, it moves from Pending to Ready on its own, no refresh needed. Once every report is in, a banner confirms "All work package reports are done". Click any card to open its work package.
Step 2: SteerCo meeting minutes
During the SteerCo, the minutes are captured here: measures, decisions and information. Filter them with All, Measures, Decisions and Information. Measures show as a table, decisions and information as cards (see Run your SteerCo meeting).
If the meeting ends earlier than scheduled, click Complete SteerCo to close it. If nothing is captured, the report still generates: the SteerCo notes just show no measures and empty decisions and information.
Step 3: Export generation
Open Export generation to review the full report before you close the cycle. The report has two parts, listed on the left:
WP reports: every work package report, with its Top KPIs and Responsibles
SteerCo notes: the minutes captured in the SteerCo
At the top right, click PDF preview to check the result, or Edit report to make changes. You can also hover over a work package report and click Edit report to change that one directly.
Close the cycle and export
When you're ready, click Close report cycle. A window asks you to confirm and shows what will be exported. Click Confirm and elyvate shows its progress as it generates and compiles the reports and gets the PDFs ready for download. You can close the window while it works: the export carries on in the background. To stop the export, click Cancel instead.
Two things happen automatically the moment you export:
elyvate saves a snapshot of the project's state for the cycle, so this report always reflects what was true at the time
All completed measures are archived (see Measure statuses)
When it's done, download the complete report as a PDF, with every work package report and the SteerCo notes. Send it to Upper Management from your own email: elyvate prepares the report but doesn't send it. That closes the cycle, and the next one starts on the project's reporting rhythm.
